Gethsemane Lutheran Church is looking for someone who possesses a warm, pleasant personality, the ability to be a flexible team player, and excellent organization skills. The ideal candidate must be able to multi-task, meet deadlines and maintain a high degree of confidentiality. Applicant should have experience with MS Word, MS Excel, MS PowerPoint, Outlook email, Google calendar and the willingness to learn other programs as required. May occasionally lift up to 25 pounds. Hours are M-F, 12-4. Pay commensurate with skills and experience. 

POSITION SUMMARY – Gethsemane Lutheran Church Assistant Office Administrator

Accountable to the senior pastor and annual review by the Personnel Committee

Responsibilities:

  • Receptionist:

Greet persons/groups who call or stop in person and assist them appropriately.

Answer phone calls and serve as receptionist during office hours.

Create welcoming atmosphere for visitors, guest groups and members.

  • Publishing:

  • Prepare and publish weekly bulletins, inserts and additions as needed

  • Prepare weekly PowerPoint for worship

  • Prepare and publish wedding, funeral, baptismal bulletins and special certificates as needed

  • Publish and promote events in local newspaper and through posters.

  • Assist parishioners with designing publications they require for their respective committees

  • Develop and publish monthly newsletters and weekly announcement sheet

  • Email weekly announcements

  • Update Web Pages

  • Publish Annual Report

  • Publish Annual Directory

  • Publish Women Ministries Booklet

  • Update social media accounts

  • Secretarial

Pick up and distribute the mail from the Post Office daily.

Assist staff and church leaders with:

  • Receiving, distributing and sending correspondence.

  • Scheduling use of the facilities for church ministries, events, weddings, family celebrations, community use, etc.; maintain master calendar using Google Calendar.

  • Joint oversight of office and custodial supplies and equipment and ordering thereof.

  • Archiving minutes of church, council and committee meetings.

  • Providing general secretarial support for staff.

  • Organizing office volunteers and assisting with duplication and other office support functions.

  • Maintaining Church records using church database.

  • Balancing church credit card and maintaining account records.

  • Running Church queries and reports using church database.

  • Running fax machine, photocopier, paper folder and other office equipment.

  • Staff Relations:

The secretarial position in a church is part of a ministry team. As part of the team the secretary

  • Will become acquainted with the duties and responsibilities of other team members.

  • Attend weekly staff meetings.

  • Work to maintain the good reputation of all team members.

And other duties as assigned by supervisor.
